Privacy Policy
This Privacy Policy (Policy) explains how WiSE Medical (we, us, our) collects, holds, uses and discloses personal information in connection with the AAA Specialist mobile application (App), this website (Site), and related support and administrative activities, which together we call the Services.
We are bound by the Privacy Act 1988 (Cth) (Privacy Act) and the Australian Privacy Principles (APPs). This Policy also notes obligations that can apply to health information under State and Territory health privacy laws when you use the App for clinical or referral workflows.
By accessing the Services, you acknowledge that you have read this Policy. If you do not agree, please do not use the Services. For how we use cookies and similar technologies on the Site, see our Cookie information page.
1. Who we are
The Services are operated by WiSE Medical. General enquiries and privacy requests: developers@wisemedical.com.au. Information about our organisation: wisemedical.com.au.
The App may incorporate software development services provided by contractors (for example Quantum Group Pty Ltd). Contractors who process personal information on our behalf must do so in line with our instructions and the Privacy Act.
2. Personal information we collect
The types of information depend on how you use the Services. They may include:
- Identity and account details — name, contact details, professional identifiers you choose to provide, account credentials, and verification information collected during onboarding.
- Professional and practice information — specialty, affiliation, and similar details needed to operate a specialist network.
- Health information — where you upload or exchange clinical or referral content in the App, that content may contain health information about patients or others. You should only enter the minimum information reasonably necessary for the purpose.
- Communications — messages, support enquiries, and feedback you send to us or through the App.
- Technical and usage data — device type, operating system, app version, IP address, diagnostics, security logs, and usage metrics to operate, secure and improve the Services.
Where lawful and practical, you may interact with us without identifying yourself; however, the App and many account features require identifiable information to work.
3. How we collect information
We collect personal information directly from you when you register, use the App, complete forms, contact us, or browse the Site (including through cookies — see our Cookie information). We may also collect information from third parties where you consent or where authorised by law (for example identity or professional verification).
4. Why we use and disclose personal information
We use and disclose personal information for the primary purposes of providing, securing and improving the Services, including to:
- create and manage accounts, verify users, and facilitate referrals, cases and messaging between authorised professionals;
- provide support, respond to incidents, and enforce our Terms and Conditions;
- maintain security, prevent fraud and abuse, and meet legal and regulatory obligations;
- de-identify or aggregate information where appropriate for analytics and product improvement;
- send operational communications; and
- consider or complete a corporate transaction (for example a reorganisation), with appropriate safeguards.
We will not use or disclose health information for direct marketing to patients. Where we rely on consent for a specific use, you may withdraw consent subject to contractual or legal constraints.
5. Disclosure to others
We may disclose personal information to:
- Other App users — as you direct or as reasonably necessary for referrals and collaboration features;
- Service providers — hosting, communications, security, analytics, and IT contractors under confidentiality and data-handling terms consistent with the APPs;
- App marketplaces — Apple and Google, to the extent required to deliver the App and process purchases;
- Authorities — where required or authorised by law, court order, or to protect rights, safety, or the integrity of the Services.
6. Overseas disclosure
Our infrastructure may use suppliers in Australia and, in some cases, overseas. Where we disclose personal information to overseas recipients, we take steps reasonable in the circumstances to ensure compliance with the APPs (including where required, under APP 8).
7. Security and retention
We implement technical and organisational measures appropriate to the sensitivity of the information we hold. No system is completely secure; please use strong passwords and protect your device. We retain information only as long as needed for the purposes above, to meet legal obligations, or to resolve disputes, then we delete or de-identify it where practicable.
8. Access, correction and deletion
You may request access to or correction of personal information we hold about you, subject to exceptions under the Privacy Act. For App accounts, you may also update certain details in the App. To delete your account or request erasure, you may use in-app delete (where available) or email developers@wisemedical.com.au with your account identifier; we will respond within a reasonable period (typically within 30 days for privacy requests).
9. Notifiable data breaches
We will assess and respond to eligible data breaches under the Privacy Act notifiable data breach scheme (where applicable to us) and notify affected individuals and the Office of the Australian Information Commissioner when required.
10. Complaints
If you believe we have mishandled your personal information, contact us first at developers@wisemedical.com.au. If you are not satisfied, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
11. Children
The App is not intended for users under 18 years of age. We do not knowingly collect personal information from children for the Services described here.
12. Changes
We may update this Policy from time to time. The current version will be published on the Site and, where appropriate, in the App. Continued use after changes constitutes acceptance of the updated Policy, to the extent permitted by law.
